I. ENROLLMENT REQUIREMENTS

a. FRESHMEN

• Bicol College, Inc. College Admission Test (BC CAT I) Result.
• High School Card-Form 138 (original and photocopy)
• Certificate of Good Moral Character issued by the principal of school last attended
• Original Birth Certificate issued by Philippine Statistics Authority (PSA)
• Latest colored picture (2 copies, passport size)
• Original Marriage Certificate (for female married students) issued by PSA
• Medical Certificate issued by any government health agency
▪ Specifically for CCJE, Hospitality Management, Nursing/Midwifery students – with Hepatitis screening
○ Data Privacy Statement – To protect students' vital information from unauthorized access.

a. TRANSFEREES

• BC CAT I Result.
• Official Transcript of Records or Certified True Copy of Grades (original)
• Certificate of Transfer Credentials (original and photocopy)
• Certificate of Good Moral Character from the last school attended (original and photocopy)
• Latest colored pictures (2 copies passport size)
○ Original Birth Certificate issued by PSA
○ Original Marriage Contract (for female married students) issued by PSA

b. CROSS ENROLLEES

Cross-enrollees must present a valid permit from their current school.

• Follow same enrollment procedures as old students.
• Payment at the Cashier’s Office.
• Subject to all BCI policies including mandatory fees, ID wearing, and regulations.
A cross-enrollee staying beyond one semester must register as transferee.

c. SECOND UNDERGRADUATE COURSE ENROLLEES

Degree holders must present their Transcript of Records for evaluation by the Dean.
BC CAT is required unless the student is a BCI graduate.

d. FOREIGN STUDENTS

Enrollment is allowed after full compliance with all admission requirements and following the school's enrollment process.

e. ETEEAP ENROLLEES

Same conditions as foreign students; enrollment upon completion of all requirements.

f. GRADUATE STUDENTS

Master’s and doctoral students can enroll after meeting all admission requirements.

II. REGISTRATION AND Office of the Registrar’s POLICIES

A. REGISTRATION

1. Register within the indicated registration period.
2. Returning students must present clearance signed by Dean and concerned officials.
3. No acceptance beyond late registration period.
4. Late enrollees incur a penalty.
5. Official enrollment is needed for course credit.
6. Graduate students must remain enrolled until completion.

B. Office of the Registrar’s POLICIES

1. Official enrollment includes:
    a. Submission of required documents
    b. Minimum payment of ₱3,000
    c. Appearance on official class list

2. Late enrollment up to 2 weeks after class opening allowed by EVP.

3. Adherence to RA 9165 for random drug testing.
    a. Consent slip issued by OSA
    b. Coordination with government agencies
    c. Notification on day of test
    d. Conducted in clinic with required witnesses
    e. Expenses covered by government
    f. Results disclosed only to parent/guardian and authorities
    g. Remedies applied if found guilty
    h. Unauthorized disclosure is sanctionable

C. STUDENTS ACADEMIC LOAD

1. Irregular students: transferees, working students, returnees, etc.
2. Courses must be taken in sequence.
3. Last-term students may take 6 extra units.
4. Extra load needs CHED approval via Dean 2 months before term.
No extra loads during summer.

D. CROSS-ENROLLMENT

Discouraged but allowed under these conditions:
• Max of 6 units for graduating students if not offered at BCI
• Similar course description
• Permit issued by Registrar and approved by VPAA

E. PETITIONED SUBJECTS (TUTORIAL/SPECIAL CLASSES)

Reasons:
• Still enrollees for closed courses
• Courses no longer offered due to new curriculum
• Major courses not allowed to be cross-enrolled
• Minimum 10 enrollees required (case-to-case exceptions)

Procedures:
1. Submit petition letter through Dean and Registrar
2. Student signature required
3. Registrar signs then forwards to Treasurer
4. Registrar assigns faculty, section, and room

F. LOAD REVISIONS

• Changes allowed only for valid reasons
• Dropping before midterm – no failing grade
• Dropping after prelims without approval – failing grade
• Dropping after excessive absences – not allowed

Refund Policy:
(a) 75% - 1st week
(b) 50% - 2nd week
(c) No refund after 2nd week

Procedures:
1. Fill out Permission Form at Registrar
2. Submit receipt to get Change/Drop Form
3. Signed by professor and Dean, submitted to Registrar

G. VOLUNTARY WITHDRAWAL FROM BCI

• Withdrawal within 1st week – 25% charge
• Within 2nd week – 50% charge
• Regardless of class attendance

Procedures:
1. Submit formal advice to EVP, noted by parent, proceed to Guidance Office
2. Get Clearance Form signed by all concerned offices
3. Pay clearance fee
4. Return signed Clearance Form to Registrar

H. COMPLETION OF GRADE

INC grades must be completed within 3 months.
Non-completion = No Grade Credit (NGC), subject must be re-enrolled.

Procedures:
1. Fill out Permission Form at Registrar
2. Sign by concerned faculty
3. Pay ₱75 at Cashier
4. Present OR to get Completion Form
5. Submit signed Completion Form to Registrar

I. SHIFTING OF PROGRAM

Allowed upon Dean and Registrar approval. Apply 2 weeks before enrollment.

Procedures:
1. Submit request to Dean noted by parent
2. Registrar issues Change of Program Form
3. Submit to new department
4. Department accepts and signs form
5. Submit to Registrar for encoding

J. DISCONTINUANCE OF STUDIES

May result from:
1. Voluntary petition
2. Dismissal by President upon grievance recommendation
3. Transfer credentials request from Registrar

K. LEAVE OF ABSENCE (LOA)

For financial, health, or personal reasons.

Procedures:
1. Get LOA form from Registrar
2. Get Dean/Program Head approval
3. Submit form to Registrar

L. TRANSFER TO OTHER SCHOOLS

Procedures:
a. Get application from Registrar
b. Proceed to Guidance Office for exit interview
c. Get Clearance Form from Registrar
d. Pay fees for Certificate of Transfer and Grades at Cashier
e. Submit clearance, receipt, and 2x2 picture to Registrar
f. Documents will be mailed to the receiving school
